MyCB Account Setup

Students needing to complete health and safety requirements will be required to create an account in CastleBranch. MyCB is a secure, online platform that allows students to order a background check or drug test (if required by your program) and set up your medical document manager. Students are responsible for the purchase of tests or procedures. Once you have placed your order at mycb.castlebranch.com, you will use your login information to access your MyCB account to upload and maintain requirements in your To-do list. Their is an iPhone App for those with Apple devices. Instructions are below.

Health & Safety requirement initial deadlines for new students: 

  • Spring semester: Jan. 30 (Exception: Nurse Anesthesia program deadline is Sept. 30)
  • Summer semester: May 30
  • Fall semester: Sept. 30

Each program has their own package code(s) and those will be emailed directly to students. Requirements are aligned with your academic program. Please take your time in reading this valuable information, as health and safety compliance is very important. 

  • Please read through the Clarkson College Health and Safety web pages.

  • The process is all online.

  • Mozilla Firefox and Google Chrome are the suggested internet browser for using MyCB.  

  • Your program code will be emailed to your personal email account.

  • The total cost will display on the page when entering the program code. (If you are an international student and are completing a background check, please call CastleBranch to request the cost of the background check, prices vary by country.)

  • You will place an order using your package code(s) online to register for your new account. The date to place your order will be in your personal email message. If you have an account already set up from another college/university, you will still need to purchase this package for your program. Once you register for courses and obtain your Clarkson College email address, please update the email address in CastleBranch to that account rather than your personal email address.

  • If you need assistance you can review: CastleBranch Resources - Video FAQ Library. There is a video to show how to place an order with a package code. Please view this link as it may provide many answers and help you with your account now and in the future. 

  • The deadline for the requirements for students beginning each semester are stated above. Don’t wait until the last minute to upload your information as this does take some time to complete.

  • MyCB account has two sides to the account.
    1. The To-Do List is where you will upload what the College is asking you to do. Please note, College employees have access to this information. 
    2. The Document Center is where everything you upload automatically puts a copy in your My Documents Clinical Requirements track. Only you have access to this information. 
      1. In the Document Center, using My Documents, you can make other folders to store things such as class work or a copy of your passport if you plan to participate in academic travel. The site is secure and available as long as you have internet access.
      2. Another feature in the Document Center is the Share Documents where you can share requirements or documents securely by following the process: choose who gets access, select what to share and note for how long. This is useful if your clinical site would like a copy of any of your documentation.

  • If your package requires a drug test, you will receive an email about 48 hours after registering for your MyCB account. The email will contain an attachment (Drug Test Authorization Form from Form Fox). You will need to print out or show this attached form from your electronic device (it should have a barcode or QR code at the top right). The drug testing lab location will be based on the zip code you entered, and CastleBranch will find a Quest Diagnostics lab in that area. If you have questions about the lab, please call CastleBranch. The authorization form is proof of payment and also an order form. You do not pay the lab as this was included in your package price. Once the drug testing is complete, the barcode then links the results report back to your account.

  • If you choose to download the iPhone app, after opening your myCB account you will be asked to enter your email address (College email) and password (you created). From there you will be prompted to enter a 4 digit PIN number (you create). Then, when using the app, you only need to enter the PIN number.

    When using the app function to upload your documentation, it will prompt you to take a photo. When taking a photo, be sure not to crop out information on the documentation. You need to take a photo of the full document (i.e. the full 8 1/2 x 11 paper) and check to see if the image is clear before accepting the photo. Next, it will prompt you to either “use the photo” or “retake photo”. If you select use, it will attach the image and then prompt you to submit. When you click submit, the attachment(s) will be sent. If you need to take a photo of the front and back of a document, you will repeat these steps to add both attachments before clicking submit. Once the submit button is selected, it is sent to review.  

  • To-Do List Requirements:
    • The Nebraska Department of Health and Human Services documentation will be completed through the NE DHHS web portal. If you are not able to verify your identity online, you may be prompted to complete a form that will require a notary. All instructions to complete this process are in your MyCB account. 
    • There are two requirements related to the HIPAA and Bloodborne Pathogen Training. These will be completed via CANVAS CATALOG, and you will upload a copy of your Certificate of Completion from the courses. All instructions for this process are in your MyCB account.
    • The requirements may include logging into other web portals. Please pay attention and expand the requirements to see the full requirement criteria.
    • Immunizations:
      • If you are employed and have an employee health office, please request a printout of your immunizations to have your current information to upload into your account.
      • Your influenza vaccine is not due until November 30, and there is no need to upload anything until then. For students on campus, the College will host a campus-wide free vaccination clinic that is typically held the first week of November.
      • If all your immunization information is on one page, you can upload the same document to each requirement respectively (photo or scanned document).
    • BLS certification must be the Basic Life Support for the Health Care Provider course from the American Heart Association. No other certification (Red Cross, National Safety Council, etc.) will be accepted. The courses are available through Clarkson College Professional Development. Advanced Cardiovascular Life Support (ACLS) and Pediatric Advanced Life Support (PALS) are also available.
    • If a physical examination is required, there is a form to download and print from your account for your provider to complete. The exam is essentially a sports physical. If you need any immunizations, please have this done during your visit with your provider to avoid additional visits and copays.
  • For your program, depending on your clinical rotation, you may have additional agency onboarding
    requirements to complete. You will receive further instructions at that time if you need to keep this information in your account. This track is a repository with three upload options. 

  • Definitions:
    • Upload: Attached documentation submitted in your MyCB account by fax, scan or photo. Reminder: if you are uploading from a computer desktop/laptop, be sure to use only Firefox or Chrome as your internet browser. 
    • Pending Review: Submitted documentation is sent to the queue of the Reviewers at CastleBranch. The Reviewers have been sent a list of the College requirements and if the documentation does not meet the criteria, it will cause it to be rejected. If rejected, you will then receive an email (to your College email) with the reason why, and you will need to resubmit what is required. If it is accepted, your account To-Do List will then show Complete (in green). During the review, if the requirement is recurring (i.e., TB is an annual requirement) your account is then set with the renewal date, and you will receive a reminder email at 60, 30 and 21 days prior to the renewal date. Open the prompt to add your new documentation for the requirement to maintain your account. Review may take a couple of days and can fluctuate during holidays or inclement weather.
    • Onboarding: Site specific requirements such as a special background check, orientation packet, site confidentiality forms or special computer access forms. 

  • If you have any concerns on deadlines, please contact your Program Director and/or Advisor to discuss options.

  • Last, when you graduate, you will update your MyCB account to your personal email for future use and the To-Do List will be archived.
